Getting started

Who we work with, what we do, and how a first conversation goes.

Who is Lingkari for?

Indonesian B2B teams of 10 to 100 people that run on WhatsApp, spreadsheets, and a few tools that don't talk to each other. Usually it is an owner, GM, or operations lead who knows something is slow or messy, but not yet what to fix first.

What does Lingkari actually do?

We are an AI-native software and automation partner. We diagnose how your work really runs, then build the fix: a process change, a simple tool, an n8n automation, an AI step, or a custom app. Often it is a mix. We only use what the problem needs.

We're not sure what our problem is. Can we still talk to you?

Yes. That is what the free diagnosis is for. Most teams come to us with a feeling, like “reports take too long” or “leads slip through.” We map the real process with you and name the problem before anyone talks about tools.

Are you an AI agency?

Not in the usual sense. AI agencies tend to put AI into every problem. Web agencies and template SaaS tend to leave it out. We use AI every day in how we work, and put it into your solution only when it is the best answer. When it isn't, we say so.

Who will we actually work with?

The people who build your system. Lingkari is builder-led, so the person you talk to in the diagnosis is the person building the fix. Nothing gets lost in a handoff between sales and engineering.

Do you work outside Jakarta?

Yes. We work online with companies across Indonesia.

Can we work in Bahasa Indonesia?

Yes. Calls, documents, and training can be in Bahasa Indonesia or English, whichever your team prefers.

Free diagnosis

What happens on the call, what you get, and what it costs (nothing).

What is the free diagnosis?

A call about how your team works today, followed by a 1-page problem map. The map shows what is broken, what it costs you, and the right fix for each problem, including whether AI belongs in it. The call takes 45 to 60 minutes.

Is it really free? What's the catch?

It is free, and there is no obligation to go further. The diagnosis is how we find out whether we can help. If we can, you get a fixed-price proposal. If the fix is something you can do yourself, we will tell you that too.

What does the 1-page problem map look like?

One page. For each problem it shows three things: what is broken, what it costs in time, lost deals, or errors, and the right fix, clearly labeled with whether it uses AI. It is yours to keep, whether or not you work with us.

Who from our side should join the call?

Someone who knows how the work really runs day to day, plus whoever decides on budget. Often that is the owner or GM together with an operations or sales lead.

How should we prepare?

Nothing formal. It helps to think of 2 or 3 tasks that are slow, messy, or keep going wrong, and to keep the spreadsheets or chats involved close by so you can show us. We don't need access to any of your systems yet.

How quickly will you get back to us?

We reply within 1 working day after you send the form, to schedule your diagnosis call.

Pricing and payment

Fixed prices, clear scope, and no surprise invoices.

How much does a project cost?

Every project gets a fixed price after the free diagnosis, based on the scope we agree on. You see the full price, scope, and timeline before you pay anything. The price depends on what we build, not on hours, so it doesn't grow if a task takes us longer than planned.

Why don't you list prices on the website?

Because every fix is different. One automation and a custom internal app are very different builds. Instead of a price range that fits nobody, you get a fixed price for your scope after the diagnosis, before you commit to anything.

How does payment work?

A 50% deposit starts the work. The remaining 50% is due at handover. Payment and invoice details are listed in your proposal.

What if we want to change something mid-project?

Change requests are quoted separately, so the original price stays fixed. You approve the cost of a change before we build it. Nothing gets added to your bill without your say.

Are there costs after the project is done?

Possibly two kinds. Running costs for the tools involved, like AI usage or software subscriptions, which your proposal lists up front. And the optional monthly retainer, if you want us to keep looking after what we built.

Do you issue official invoices for our finance team?

Invoices are issued by PT Lingkari Karya Kita. We are not VAT-registered (PKP) yet, so we cannot issue faktur pajak.

Process and timeline

From first call to handover, and how much of your team's time it takes.

How long does a project take?

It depends on what we are fixing. A focused automation is usually quicker than a custom app. Your proposal includes a timeline, agreed before work starts. AI projects start with a pilot on one workflow, so you see results early.

What are the steps, from first call to launch?

1. Free diagnosis: a call and a 1-page problem map. 2. Proposal: fixed price, clear scope, and timeline. 3. 50% deposit, then we start building. 4. Delivery and handover, with docs and training. 5. Optional monthly retainer. Nothing is built until you agree with the plan.

How much of our team's time will this take?

Some, but not much. We work per project, not by the hour. We need one person who owns the process and can give feedback during the build. Training for the wider team happens at handover.

Do we need technical staff to use it?

No. We build it into the tools your team already uses and train them at handover. Someone on your side should own the process, but they don't need to be technical.

How do we know it works before you hand it over?

We test it with your real work and your team before handover. For AI projects we start with a pilot on one workflow, so you see it working with your own data before you commit to more.

Do we need to replace our current tools?

Usually not. We connect to what you already use, like WhatsApp, Google Workspace, spreadsheets, and existing apps. We only suggest a new tool when the current one is the problem.

AI and automation

When AI belongs in the fix, what it costs to run, and what happens when it gets things wrong.

Do we need AI at all?

Maybe not, and the free diagnosis tells you. If a simple form, a clean spreadsheet, or one automation fixes the problem, that is what we will recommend. AI goes into your solution only when it is the best answer.

How do you decide when to use AI?

We run a quick test in every diagnosis. Is the input messy, like chats, documents, or free text? Can a person check the output? Is it worth the monthly running cost? Three yeses and AI fits. Any no, and we look at a simpler fix first.

What kinds of work can AI do for us?

Mostly work with messy input: tagging and routing WhatsApp chats, reading invoices or CVs into a sheet, drafting replies for a person to approve, summarizing long threads, and answering staff questions from your own SOPs.

What if the AI makes mistakes?

It sometimes will, so we design for it. Anything sent to customers or touching money is approved by a person, and we pick tasks where a mistake is easy to spot and fix. With a retainer, we monitor quality and tune prompts and models.

What does AI cost to run each month?

It depends on how much the workflow is used. Your proposal includes an expected monthly running cost, and with a retainer we track actual usage so there are no surprises.

We tried ChatGPT and nothing changed. Why would this be different?

Usually the tool was never connected to how the work happens. We start with the process, build AI into the tools your team already uses, and keep a person in the loop. With a retainer, we keep prompts, data, and connections from drifting.

What is n8n, and why do you use it?

n8n is a workflow automation tool. It moves data between the tools you already use, like WhatsApp, Google Sheets, and your CRM, so nobody has to copy and paste. It is flexible, and lets us add AI steps only where they help. Self-hosted or n8n Cloud, depending on what fits your team and data.

Which AI models do you use?

We pick the model for the task, the cost, and your data needs, not the other way around. We use frontier models such as Claude (Anthropic) and GPT (OpenAI).

Data, security, ownership

Where your data lives, who can see it, and who owns what we build.

Is our data safe? Where does it go?

Where possible, your data stays in your own accounts and tools. Anything sent to customers or touching money has a person approving it. We design and run every project to comply with Indonesia's personal data law (UU PDP).

Will our data be used to train AI models?

We use AI services under business terms where your data is not used to train their models. If you need it, you can choose models with zero data retention (ZDR).

Who has access to our accounts?

Only the people building your system, and only while they need it. Where possible we work inside your own accounts, so you stay in control and can remove access at any time. We use named accounts only, never shared logins, with 2FA on wherever the tool supports it. We ask for the lowest access that gets the job done, and remove it at handover unless you keep us on a retainer.

Will you sign an NDA?

Yes, we are happy to sign your NDA before the diagnosis call.

What happens to our data if we stop working together?

Because it lives in your own accounts where possible, it stays with you. At handover you get documentation of what we built and where everything lives. When we stop working together, we hand over all credentials, workflows, and documentation, transfer any accounts we set up to you, remove our own access, and delete any copies of your data we hold. We confirm in writing when it is done.

After launch

Handover, the optional retainer, and what to do when you need more.

What happens after launch?

We hand over with documentation and training for your team. If you want us to stay on, an optional monthly retainer covers monitoring, small changes, and a monthly check-in. Change requests are quoted separately.

What do we get at handover?

Documentation of how the system works and where everything lives, plus training for the people who use it. The goal is that your team can run it day to day without us.

What does the monthly retainer include?

Monitoring of what we built, small changes, and a monthly check-in. For AI workflows it also covers prompt and model tuning and AI usage cost tracking. Bigger changes or new features are quoted separately. [Placeholder: retainer pricing.]

Is the retainer required?

No, it is optional. Some teams run everything themselves after handover. Others want us to keep an eye on it. You can decide at handover. You can stop the retainer with 30 days' notice.

What if something breaks and we don't have a retainer?

Contact us and we will look at it. Fixes outside a retainer are quoted separately. Bugs found within 30 days of handover are fixed for free. New requests are quoted separately.

Can we add more workflows later?

Yes. Many teams start with one problem and add more once the first fix works. Each new piece of work gets its own fixed-price proposal.

isHiring

Our own product, and what building it taught us.

What is isHiring?

Our own hiring product. It started as the fix for our own messy hiring, then took shape with a few companies we work with. AI scores candidates, and a person decides. It is live, and Lingkari still runs and maintains it. See ishiring.id.

Do we need to be a Lingkari client to use isHiring?

[Placeholder: confirm. For example: no, isHiring is available on its own at ishiring.id.]

Why does a services company build its own product?

It keeps us honest. We spent 9 months testing each step of isHiring with and without AI, and we still maintain it today. That is how we learned to plan for life after launch, which is what your retainer is for.

Will you build more products?

Yes. More products are coming, each built from a problem we keep seeing across client work.
